Assessment venues

An assessment venue is a named location where a test or exam is delivered — for example an exam room, a hall, or a computer lab. You create your venues once, then link them to the exam classes that sit there. The platform uses those links to track how many test-takers each venue holds and which invigilators cover it.

Important

Only people with an Administrator role can view, add, edit, or delete assessment venues.

View your venues

Go to Manage People > Assessment Venues. The page (headed Venues) lists every venue, when each was last modified, and how many groups it's currently linked to. Select a venue to see its details.

Add a venue

  1. On the Venues page, select Add Venue.
  2. Enter an Identifier — the venue's name or code. It must be unique and can contain only letters, numbers, hyphens, and underscores (no spaces). For example, Hall-A or Room_204.
  3. Enter a Description — a short, readable label for the venue, such as the room's full name or location.
  4. Select Save.

Both fields are required.

Tip

Use the Identifier as a short, stable code and the Description for the human-friendly name. The description is what helps staff recognise the venue at a glance.

Edit a venue

Open the venue from the Venues page, select Edit Venue, change the Identifier or Description, then select Save.

Delete a venue

Open the venue and select Delete. Delete a venue only when it's no longer needed — if it's still linked to an exam class, remove those links first.

Creating a venue makes it available to use; on its own it does nothing. A venue takes effect when you link it to an exam class (a type of group — see Groups and group types).

On the exam class, the Venues section lets you add one or more venues. For each linked venue you record:

  • Expected No. of Candidates — the number of test-takers expected to sit at that venue.
  • Invigilators — the staff nominated to invigilate at that venue.

You can link up to 40 venues to a single exam class.

These links tell the platform which invigilator covers which venue. That information is then used when you assign invigilators to an assessment event — it doesn't send the task assignments itself; you do that from the assessment event.

Settings

There are no tenant or platform settings that affect assessment venues. The only fixed limit is that an exam class can be linked to a maximum of 40 venues.
